Placement Coordinator

vChief is looking for a full-time Placement Coordinator to join its Placement and Consultant Services team. As our first Placement Coordinator, you will support our systems and processes for matching chief of staff consultants, as well as assist with post-onboarding consultant communication and workflows. You will interact with the full vChief team and be exposed to all the day-to-day collaboration and across teams. The position provides you with an exciting opportunity to gain insight into the fast-paced world of a startup that is fully remote and highly flexible, and help the team drive our business to the next level.

Our organization
Founded in 2016, vChief is a young, but established and successful company providing virtual chief of staff support to busy executives on a part-time or interim basis. We recruit, select and vet chief of staff consultants and match them with CEOs and other senior leaders who need a right-hand partner. Leaders will opt into a monthly level of service to meet their needs, which will be provided by one of our contracted chiefs of staff. These chiefs of staff will help CEOs take things off their plate, so the CEO can focus their efforts where they will have the most impact. They do things like supporting a CEO's communications and meeting follow-up, managing projects, creating systems and processes to improve efficiency, planning meetings and events, hiring, budget development, and more. We've had great success with our clients to date, with 100% Indicating they would recommend vChief to a friend or colleague. Now we are looking to share these services with more CEOs in more industries.


Responsibilities include, but are not limited to:

  • Support the day-to-day operations of the placement and consultant services team

  • Manage and update online databases and any tracking tools and procedures in support of placement and consultant services

  • Manage the placement inbox by answering incoming email from consultants

  • Execute communication workflows with consultants post-onboarding

  • Assist the placement team in reviewing client requests for desired scope of work

  • Help the team to identify candidates and recent hires who align to project opportunities

  • Communicate with vChief consultants on their time availability for proposed projects

  • Assist in conducting data analysis related to placement and consultant services

  • Identify problems and implement solutions to current systems and processes to increase efficiency and accuracy; document team Standard Operating Procedures.

  • Contribute to the development of new systems of matching clients and consultants

  • Assist with distribution of internal and external placement related surveys and reports

  • Liaise with Business Development, Talent and Finance to ensure accurate records

  • Take on special projects as needed or offer capacity where possible during busy seasons

Knowledge, skills and abilities

  • Customer support, placement services experience strongly preferred

  • You have an interest in, and are comfortable with working in a rapidly growing, fast-paced startup environment

  • You are self-motivated and goal oriented, with an ability to deliver a high level of customer service, administrative support and relationship development

  • You are a problem solver with an attitude to overcome any administrative challenge

  • You are a strong communicator over the phone, email and chat channels

  • You are extremely detail oriented and organized

  • You are able to prioritize and juggle multiple projects with accuracy and precision

  • You are a self-starter with the ability to work independently as well as part of a team

  • You are fluent in Microsoft Word, Excel, and Google Drive and comfortable working with databases to analyze data and manage information

Compensation for this role is $50,000-$55,000 depending on experience. The Coordinator will also be eligible for vChief benefits including a four day work week, a work from home stipend, reimbursement for healthcare premiums, unlimited vacation (with set minimums), retirement savings and more!
